The Tavoittaja user guide provides step-by-step guidance for adding contacts, creating messages and surveys

1. Register or log in
If your company or organization doesn’t yet have a Tavoittaja account, you can create a new account using the link below. If you do not have a company or business ID, you must be an official representative of a registered organization. When you open a new account, you will receive 100 free text message credits. The credits will be added to your account once it has been approved by our customer service.
Note: Users of the old version of Tavoittaja must also create a new account when switching to the new version.
If you already have a new Tavoittaja account, you can log in using the link below. If you have forgotten your password, you can reset it via the 'Forgot your password?' link on the page.
2. Add other users to your account
Once you’ve logged in to Tavoittaja, you can add new users to your account by going to the Account pagein the left-hand menu. Then select the Users tab and click the Add User button. Enter the new user’s email and choose whether they can manage other account users’ information. After saving, the new user will receive an email allowing them to complete their details and log in.
3. Buy credits
Before sending a message, your account must have the necessary number of credits. You can purchase credits on the Buy Credits page in the left-hand menu.
- First, select the size of the credit package you want or enter a custom amount of credits (minimum purchase is 500 credits). You can view the pricing for the packages at the bottom of the page or on the Pricing page.
- If you have a discount code, you can enter it by clicking the 'Use Discount Code' field in the Order Details section.
- Then proceed to Paytrail to pay for your credit purchase by clicking the 'Proceed to Payment' button.
- You can find all your previous purchases under the Purchase History tab, and if needed, download a PDF receipt for each individual purchase.
To pay for your credit purchase by invoice, contact our customer support at support@prospectum.fi.
Note: Purchased credits are valid for 365 days from the date of the most recent purchase.
4. Import contacts
You can add contacts to Tavoittaja one by one or import them in bulk from the Contacts page in the left menu.
A) Add a single contact
- First, move to the Contacts page and you will see the Browse contacts tab.From the top right corner of the list, click the Add contact button.
- Fill in the necessary information in the fields (a phone number in international format is required). If you are using groups or custom fields, be sure to complete the corresponding tabs at the top as well.
- Save your new contact
B) Import contacts from a file
System requirements for the import file
File format .xlsx or .csv (UTF-8).
Phone number is required.
Make sure each piece of information is in a separate column (e.g., split the name into First Name and Last Name columns). If you import the data from a .csv file, the columns can also be separated by a comma.
- First, move to the Contacts page and there to the Import from file tab.
- Upload your .xlsx or .csv file by using the file upload field on the page. Click Next.
- Map the columns in your file to the system's contact fields (e.g., map your file's First Name column to the system's First Name field). Click Next.
- Give your import an informative internal name (e.g., the customer group you are importing).
- Choose the group for your contacts. You can also create a new group here by opening the dropdown and selecting the option + Create a new group.
- Set a default country code for your import. If the file contains numbers starting with 0, the system will automatically replace them with the country code set in the default country code field.
- Choose whether to import only new contacts from the file. If this option is not enabled, the import will overwrite existing contact information with the data from the file based on the phone number.
- Click the Confirm import.
4.1 Groups
With groups, you can send messages exclusively to selected contacts.
- Move to the Contacts page in the left navigation bar and open the Groups tab.
- From the top right corner, click the Add group button and give your group a descriptive name (e.g., the name of your customer group).
- Click the Save.
New contacts can now be added to an existing group either individually or via bulk import. Alternatively, you can also create new groups when importing contacts.
Note: You can modify a contact’s groups later by opening the contact on the Contacts page and navigating to the Groups tab.
4.2 Custom fields
If you need to save additional information for contacts beyond Tavoittaja’s standard fields, you can create your own text-based fields in the system.
- Move to the Contacts page in the left navigation bar and open the Custom fields tab.
- Click the Add custom field button and give your custom field a descriptive name (e.g., customer number).
- Click the Save.
The created custom field can now be mapped to a column during contact file import (see above 4B, step 3), and the field can be included in the message when composing it.
Note: You can update a contact’s custom fields at any time by opening the contact from the Contacts page and navigating to the Custom fields tab.
5. Create and send a message
- Move to the Send message page.
- Give your message a descriptive internal name and a sender name up to 11 characters long. Please note that using another company’s name or any sender name that appears fraudulent may result in your account being closed.
- Enter your message content. You can personalize it using information stored in your contacts via the Personalise message dropdown. Don’t forget to include an marketing opt-out link, if the message contains marketing.
- Click the Continue to select recipients button.
- Choose the recipients for your message—either a group, individual contacts, or both. Once you’ve set the recipients, the system will display an estimate of how many recipients there are and how many credits will be used.
- Click the Select sending time button.
- Carefully review your message details. Then choose one of the following options: send immediately, schedule the delivery for a specific time, or save the message as a draft.
Note: If you saved the message as a draft, you can find it under the Drafts tababove. Alternatively, you can create reusable message templates under the Templates tab and use them when composing new messages.
5.1 Credit usage
Credits are used according to the length of your message, meaning a single message may count as multiple messages. The table below illustrates how message length impacts credit usage. The table applies to messages that only use basic characters (such as letters, numbers, spaces, and the most common punctuation marks). If the message contains emojis or certain special characters, it will be processed as a Unicode message, in which case the length of a single message is 70 characters instead of 160.

Note: The above table applies to domestic messages. Below you can see how the recipient’s country affects credit usage.

Note: Messages whose sending failed and remain in Not sent status will not consume credits.
6. Message reports
After a successful message delivery, you will receive a contact-specific report for your message.
- Move to the Message history page.
- In the list, you can directly see the delivery details, used credits, and other information. Click open a sent message.
- On the Message details page , at the top, you can see the numbers for delivered, failed, and pending messages. On the Overview tab you can see the details of the message you sent and, if you wish, copy the message to use it as a template for a new one.
- Move to the Recipient details tab to see the status of each recipient. In the More information column of each row, you can see the reason why the message may not have been delivered.
7. Create a survey
With Tavoittaja’s SMS surveys, you can collect feedback, opinions, and much more from your contacts.
- Move to the Surveys pageIf you have not created a survey before, the survey creation view will open automatically. If you have already created a survey earlier, click the Create survey button.
Basic information
- First, choose a template for your survey. You can either create a completely new survey or use a previously created survey as a template.
- Give your survey a descriptive internal name (e.g. Customer Satisfaction Survey or Opinion Poll) and then choose whether the survey should be scheduled to close at a specific time. Click the Continue button.
Content and languages
- In the Content and Languages step you can add translations for your survey (available options: Finnish, English, and Swedish) by clicking the +Add language button.
- The survey title and introduction text are displayed on the survey’s start page, but you can leave these fields empty if you do not wish to use that page. The closing text will be shown after the respondent has completed the survey. Remember to fill in each language separately. Click the Continue button.
Survey appearance
- In the Survey Appearance step, you can set a colour theme and add a logo for your survey. The colour theme defines the colour of buttons and selection fields, and the logo is displayed at the top of each page. The recommended logo size is 300px wide and it should be in a horizontal format. The file should be in .png, .jpg, or .svg format and a maximum of 2 MB in size.
- Click the Create button.
Note: You can edit the information you set during the creation process later in the survey’s Settings tab.
7.1 Editing fields
After creating the survey, you will be directed to the Edit Fields tab, which you can return to at any time from the Surveys page in the left-hand menu by opening the survey you created. The available fields can be found on the right side of the page under the Default fields section.
- Find the field you want on the right side of the page in the Default fields section.
- Drag and drop the field to the area on the left.
- Fill in the required information for the field. The descriptions of the settings for each field can be found below.
Basic settings for all fields
- Name: Displayed as the field's title
- Required: Is the field required.
- Hidden: If you want to remove the field from the survey and the survey has already received responses, enable this setting. Never delete the field, as deleting it will also remove all responses for that field.
Text field
- Field type: Choose either single- or multi-line text field
- Placeholder: Text that is displayed in the field before the respondent enters their own text.
Choose multiple field
- Minimum and maximum: The minimum and maximum number of options a respondent can select when answering the question. For number fields, this setting works as the minimum and maximum number that the respondent can enter in the field.
- Options: Add new options to the field.
Survey structure
- Divider: A divider line that you can use to separate different fields.
- Paragraph: Add text, links, and images to the desired location in the survey.
- Page break: Make your survey multi-page. Place a page break field between two other fields if you want them on separate pages.
Note: You can preview your survey by clicking the Open survey preview button..
7.2 Adding the survey to your message
You can add the link to your survey in a text message when editing the message on the Send Message page. Click the Message field and select the desired survey from the Add Survey Link menu. The survey link is approximately 50 characters long.
7.3 Responses
- Go to the Surveys page.
- Click to open the survey you want.
- If your survey already has responses, the Responses tab will open automatically.
- By clicking on a specific response, you can view all the information in it.
- If you wish, you can export the responses directly to Excel by clicking the Export to Excel button in the top right corner and selecting the fields you want.
8. API / SMS Gateway
You can also integrate SMS sending into your own systems by using the Tavoittaja API.
- You can create an API key for yourself from the left-hand menu on the API tab in the Account page.
- Enter an email address where we can contact you in case of changes to the API, and the system will generate a key for you.

9. Two-way messaging
If you want to reserve an inbound number for two-way messaging, you can do it in the admin panel, contact our customer service at support@prospectum.fi or fill out the contact form. The price of the inbound number is 49€/month + VAT.
- Move to the Account page and there to the Inbound numbers tab.
- Click the Contact us to order button.
- Fill out the form, send and we will contact you as soon as possible.
